Summary Job Description

Cox Media Group (CMG) - Houston which encompasses three radio stations: KGLK, The Eagle – “Houston’s Classic Rock, KKBQ, “The New 93Q Country”, and KTHT, “Country Legends” and a digital platform: Local Solutions is looking for a National Sales Assistant (NSA). The ideal candidate has experience in a sales support role within the media industry and is familiar with both the media sales process as well as executing various tasks necessary for the fulfillment of national advertising programs. The NSA will primarily be responsible for effectively navigating the various systems to manage our national advertising portfolio – including communicating with national representatives as well as internal support teams to ensure media runs on-time and as ordered. This individual will also perform other various essential daily duties and administrative work (eg. spot times check, billing review and analysis). 

This position reports to the Director of Marketing Services and works directly with Director of Sales and National Sales Manager for relentless execution of national advertising campaigns.

Essential Duties

Perform essential data-entry necessary to execute any media sale or program.

Confirm every national sales order for CMG Houston stations.

Complete order entry for radio sales using systems WideObit & vCreative.

Learn and effectively navigate sales systems and tools to be able to provide ongoing support to sales management and account executives.

Provide spot times reports to national advertisers as needed (weekly and daily).

Partner with national agencies/representatives daily.

Identify issues in orders and proactively secure necessary details for proper campaign execution.

Hold agencies accountable for meeting critical deadlines for information.

Proactively find opportunities to make good any displaced or bumped spots whenever possible to optimize revenue potential.

Prepare sales one-sheets and proposals to assist in closing business.

Hold representatives accountable in providing proper insertion orders and revisions to run campaigns on time and as ordered

Partner with internal traffic, promotions and production teams to ensure on-time delivery of recorded spots and effectively schedule remote broadcasts for on-air.

Create opportunities for smooth and effective communication to ensure all orders are entered expediently and without issue.

Schedule remotes for national buys and handle unique promotions requests in partnership with the internal promotions team.

Initiate billing reviews and revenue adjustments as needed in partnership with national representatives as well as CMG Accounts Receivable.

Proactively resolve billing issues by finding opportunities for make goods as much as possible

Research and provide detailed explanations for revenue adjustments and enter them accordingly into proper systems (FORCE).

Leverage reporting systems to generate (and explain) custom reporting for sales leadership (using proprietary software and/or Miller Kaplan, & X-Ray).

Effectively build intuitive report templates in Microsoft Excel.

Execute various other projects as assigned to ensure daily operations are handled appropriately and promptly.

This includes - filing, copying, ordering supplies, mail distribution, folder management, event badge assembly.

Collaborate with other colleagues to ensure workload demands are met and effectively & efficiently distributed across the sales assistants.

Qualifications

The ideal candidate demonstrates a superior ability to be organized, detail-oriented and operate well under pressure with a high degree of urgency and confidence. This individual should possess strong written/verbal/email skills that allow him/her to effectively communicate with national agency representatives with high command to obtain critical responses and information needed to complete business in a timely manner. This person must adopt (trained) processes and best practices for all systems required to do the job – including vCreative and WideOrbit.  He/she must also effectively manage multiple responsibilities with precision and above all – a focus on team work.

This position requires working knowledge of the media industry. Candidates must also be proficient in Microsoft Suite of products such as Excel, Word, Publisher, 365, Outlook and PowerPoint. Media sales experience is highly-preferred but not required.
